Quality Assurance Specialist (Record and Data Management)

Position Description:

This position will provide support to the Quality Assurance Lead in controlling GMP documentation, data, and records e.g., create and reconcile logbooks, batch records, and forms, issue relevant documentation for change control, deviation, risk assessments, CAPA, recall, and customer complaint processes.

Job Responsibilities:
  • Assist with the management of electronic and/or paper-based information
  • Scan and upload records and data for storage in electronic format
  • Ensure electronic documents are stored according to the approved naming convention
  • Assist in the management of superseded, obsolete, and archived documents
  • Identify the most appropriate records management resources
  • Monitoring of retention and disposal schedules, and reports as necessary
  • Assist in the changeover of paper to electronic records management systems
  • Respond to information enquiries; giving appropriate access to information
  • Ensure compliance with relevant legislation and regulations
  • Assist with the reconciliation of PQS documents and record
  • Ensure GMP personnel and processes adhere to GMP, PQS procedures and processes, and relevant guidelines
  • Assist with the management and reporting on all customer complaints
  • Assist in providing data/analyses for annual product quality reviews
  • Assist with the collation and reporting of GMP performance targets to the business and complete technical system reports
  • Support the management of the PQS documentation lifecycles and ensure periodic reviews occur when scheduled
  • Support the creation and completion of GMP-related documents for change controls, deviations, customer complaints and risk assessments, etc
  • Support with the updating of all GMP and GACP-related registers
  • Provision of documentation to support the business operation and audits, 
  • Assist with corrective or preventative action activities prior to implementation on site.

Qualifications and Requirements:
  • Minimum Diploma or Degree in Science 
  • 2 years’ experience in quality management
  • Experience working in regulated quality systems such as ISO and GMP
  • Experience in the requirements of regulatory bodies, e.g. auditors from the CLA, PE009, ISO 9001 or ISO 17025
  • Computer literacy skills
  • Good organization and time-management skills
  • Excellent communication skills
  • Unquestionable integrity
  • Flexibility in working hours/days
  • A hands-on “roll up one’s sleeves” approach to work
