Job Summary
The Receiving Clerk is responsible for the professional and efficient receipt of all goods delivered to the resort. You will verify that every delivery matches the quality, quantity, and price specifications of the property, ensuring that the resort only pays for exactly what it receives. You will work closely with the Cost Controller and Executive Chef to maintain the integrity of the supply chain.
Key Responsibilities
  • Verification & Inspection: Physically inspect all incoming deliveries for quality, freshness (especially for perishables), and damage. Cross-reference items against the original Purchase Order (PO) and the vendor’s delivery note.
  • Temperature Control: Monitor and log the temperatures of all refrigerated and frozen goods upon arrival to ensure food safety compliance (HACCP standards) for the resort’s multiple dining outlets.
  • Documentation & Data Entry: Accurately enter all received goods into the inventory management system (SAP) on the same day they arrive to maintain real-time stock levels.
  • Weight Accuracy: Utilize calibrated scales to verify the weight of meat, poultry, and seafood, ensuring the resort is not overcharged for "ice weight" or shrinkage.
  • Discrepancy Management: Issue "Credit Memorandums" for any short-shipped items, damaged goods, or price differences, and immediately communicate these issues to the Purchasing Manager and Cost Controller.
  • Loading Dock Management: Maintain a clean, organized, and secure receiving bay, ensuring that deliveries are scheduled to avoid bottlenecks and that goods are moved to the proper storage areas immediately.
Required Qualifications & Skills
  • Experience: 2+ years of receiving or warehouse experience, preferably in a large-scale hotel or high-volume food service environment.
  • Physical Stamina: Ability to lift heavy crates (up to 50 lbs), operate pallet jacks, and spend the majority of the shift standing in varying temperatures (loading docks vs. walk-in freezers).
  • Attention to Detail: Sharp eyes for spotting low-quality produce or subtle discrepancies in invoice pricing.
  • Computer Literacy: Basic proficiency in Microsoft Excel and experience using digital inventory or POS systems.
  • Integrity: High level of honesty and professional ethics, as this role involves direct contact with external vendors and high-value assets.
  • Knowledge of local delivery standards and familiarization with GCT-inclusive vs. exclusive invoicing.
  • Flexibility to work early morning shifts (typically starting at 6:00 AM or 7:00 AM) to accommodate fresh produce deliveries.
